Office Manager
In this position, you ensure a professional and smooth office operation. With experience, discretion, and a strong service orientation, you guarantee efficient processes and shape the reliable appearance of our company both internally and externally.
Your Responsibilities
You take on a central role in the office, coordinating key processes and providing reliable, forward-looking support to management and internal teams. In doing so, you ensure that information, processes, and resources are managed efficiently and are well aligned.
Your main responsibilities:
- Full responsibility for a seamless and well-organized office environment
- Guest reception and care at the highest professional level
- Direct support to executive management and specialist departments, including prioritizing and coordinating tasks
- Planning, organizing, and follow-up of meetings, sessions, and internal events
- Support in contract management (preparation, tracking, and filing)
- Coordination of translations, certifications, and other administrative processes
- Responsibility for courier and correspondence services as well as the quality of external communication
- Management of travel arrangements, expense processes, and document management
- Coordination with internal interfaces and external partners (IT, facility management, service providers, etc.)
- Participation in internal projects, process optimization, and the further development of administrative standards

Essential Qualifications
- Several years of experience in a responsible office or management support role, ideally in a consulting, financial, or private banking environment
- Strong organizational and coordination skills in an environment with high standards for quality and confidentiality
- Proactive, structured, and solution-oriented work style with an eye for what is essential
- High standards of quality and efficiency in planning, execution, and communication
Preferred Qualifications
- Completed commercial apprenticeship (KV) or equivalent qualification
- Confident use of MS Office and modern digital tools
- Resilient, loyal personality with a strong sense of responsibility and service orientation
